Features of the fleet business Accounting/Finance Link software module are:
  • Any number of account codes up to 50 characters in length can be created.
  • Account codes can be configured in any way required and are displayed in a format defined by a customizable mask that identifies each logical section of the code  -- For example: Customer number (department), GL Account Key, etc.
  • Account codes can be assigned to export data for both expense and revenue journal entries.
  • Expense and/or revenue can be split across any number of account codes with a defined percent going to each.  Software validation functions assure that splits total to 100 percent.
  • Data can be sent to the accounting system software for base costs and markup as a total or as separate values with each having its own account code.
  • Account code editing and validation software functions permit new codes to be entered or subsequently edited.
  • Data that is extracted for exportation as journal entries is retained in a repository for an audit trail and for predefined as well as ad hoc reporting.
  • Data extraction and export events are retained in a log for an audit trail as well as for use by validation functions to prevent period overlap and ensure continuity.
  • Data grouping, granularity and summarization levels can be customized for each organization.
  • Standard data extraction and export routines are provided for parts,
    labor, fuel, asset replacement and other types of expense (13 in all). Further customization is available.
  • A number of markup or discount options are built-in for billing purposes.
  • Data can be extracted from cost-level data or invoice-level data by choosing the appropriate data extraction routines or creating customized routines, if necessary.
